1. Who we are
iSquare Tech Solutions is a trading name of iSquare Tech Solutions Ltd, a company registered in England and Wales, company number 13931423. Our registered office is Victory Way, Admirals Park, Crossways, Dartford, Kent, DA2 6QD, United Kingdom.
We are the data controller for the personal information described in this policy. If you have any questions, email us at info@isquaretechsolutions.co.uk.
2. Information we collect
We only collect the information we need. This may include:
- Details you give us through our contact form: your name, company, work email, phone number, preferred contact method, the service you are interested in and your project details.
- Messages you send to our AI assistant (IQ) on this website, and any contact details you choose to share in the chat.
- Information you share when you email or call us, including CVs and cover letters sent for job applications.
- Your email address if you ask to be notified about new roles.
- Technical information our servers record when you visit, such as your IP address, the pages you visit, and your device and browser type.
3. How we use your information
- To reply to your enquiry and prepare proposals or quotes.
- To answer questions you ask our AI assistant (IQ), and to pass your enquiry to our team when you ask us to.
- To review chat conversations so we can improve the accuracy of IQ’s answers.
- To deliver and manage services you have asked us to provide.
- To consider job applications and tell you about roles you asked to hear about.
- To keep our website secure and working properly.
- To meet our legal and accounting obligations.
4. Our lawful basis
Under UK data protection law we rely on:
- Legitimate interests — to respond to enquiries, run our AI assistant and run our business in a way you would reasonably expect.
- Contract — where we need your information to provide services you have asked for.
- Consent — for job alerts. You can withdraw consent at any time.
- Legal obligation — where the law requires us to keep certain records.
You don’t have to give us your personal information. If you don’t provide the details we ask for in our contact form or chat, we may not be able to respond to your enquiry.
5. Our AI assistant (IQ)
Our website includes an AI assistant called IQ. IQ answers questions using approved content from our website. When you use IQ:
- The messages you type, and any contact details you choose to share, are processed to generate a reply.
- Your messages are processed by our AI provider, [AI provider], which is based in [AI provider country]. Where this involves a transfer outside the UK, we rely on the safeguards described in section 7.
- We keep chat conversations for [chat retention period], then delete them.
- IQ does not make decisions about you that have legal or similarly significant effects. A member of our team handles any enquiry you ask us to follow up.
- Please don’t share sensitive information, such as health, financial or login details, in the chat.
6. Who we share it with
We never sell your personal information. We share it only with trusted providers who help us run our business, under contracts that require them to keep it secure. These are:
- Website hosting: Amazon Web Services (AWS), in the UK.
- Email: Amazon WorkMail, provided by AWS.
- AI assistant: [AI provider].
We may also share information with professional advisers, or with authorities where the law requires it.
7. International transfers
Our website is hosted in the UK. Some of our providers, such as our email and AI providers, may store or process data outside the UK. Where this happens, we make sure appropriate safeguards are in place, such as UK adequacy regulations or the International Data Transfer Agreement.
8. How long we keep it
- Enquiries: up to 24 months after our last contact with you.
- AI assistant conversations: [chat retention period].
- Client records: for the length of our contract and up to 6 years afterwards for legal and accounting purposes.
- Job applications and CVs: up to 12 months, unless you ask us to delete them sooner.
- Job alerts: until you unsubscribe.
9. Your rights
You have the right to access your personal information, ask us to correct or delete it, restrict or object to how we use it, ask for a copy in a portable format, and withdraw consent at any time. To use any of these rights, email info@isquaretechsolutions.co.uk. We will reply within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
10. Keeping your information secure
We use appropriate technical and organisational measures to protect your personal information against loss, misuse and unauthorised access.
11. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
